Using the Orders Report

Using the Orders Report

What is the Orders Report?

The Orders Report is the single screen showing every order your customers started, whether or not it reached the store. It replaces the need to move between the Order Details and Draft Order Details reports by bringing successful, failed and abandoned orders into one grid, so you can see the drop-off between them at a glance.

Core question this report answers:

Which orders got through?

Successful orders, and the channel the store accepted them on.

Which ones failed?

Orders YUMBI tried to send that no channel accepted, with the reason.

Which never made it to checkout?

Baskets a customer built and then abandoned.

Where to find the report.

This report can be found in the left-hand navigation panel of YUMBI Reports, under the Operations tab, as Orders. Alternatively, click here to access the report directly. It loads with today already selected, across all your brands and restaurants.

Filters

At the top of the page you'll find the filters that control everything below:

Figure 2

Filter
What it does
Date RangeSets the days you want to look at. Defaults to today.
BrandAllows you to select a brand and narrows down which restaurants appear in the Restaurant filter.
RestaurantAllows you to filter by one or more restaurants. Leave it on All Restaurants to see everything you have access to.
Order StatusAllows you to filter by All Statuses, Successful, Failed or Draft. Selecting one fetches only those orders, which makes the report noticeably quicker on a busy day.

You only see brands and restaurants you are authorised for, so "All Restaurants" means all of yours.

Status tabs

Four tabs sit above the grid, and each one shows its own count and value:

TabWhat's in it
All OrdersEverything, with a Status column so you can tell them apart.
DraftBaskets a customer built but never placed. These never reached the restaurant.
FailedOrders the customer placed that no channel accepted, so the restaurant never received them.
SuccessfulOrders the restaurant received and accepted.

Clicking a tab is instant and does not reload the report. The percentage under each heading is that status as a share of everything in your current date, brand and restaurant selection, so you can read your conversion straight off the tabs.

If you select a specific status in the Order Status filter, the other tabs disappear, because the report has only fetched the one you asked for.

One row per order. The columns change per tab, so you only see what is relevant to the orders you are looking at.

Key columns

Why the order was not accepted. These lead the Failed tab in columns 2 and 3, because there they are the whole story.

A dash in a column means it does not apply to that row. Delivery Fee and Driver Tip show a dash on collect orders, and Accepted By shows a dash on drafts, which never went to a restaurant.

Order State values

Draft

The customer built a basket and left before checking out.

Credit Card Payment

The customer reached the payment step. These are the ones worth chasing.

Failure causes

CauseWhat it usually means
PrinterThe GSM printer did not acknowledge the order. Often "Could not contact store".
Point of SaleThe POS did not take the order, commonly "Timed out waiting for store to accept".
Store SetupA configuration problem, for example no active Order Up device, or the restaurant cannot accept an order for the requested time.
Delivery Provider FailureThe delivery provider rejected the job.

Exporting

The grid has Copy and CSV buttons below it. The CSV includes columns that are hidden on screen, so it is the better option when you are sending something on:

  • Phone number and email address
  • Payment method, prepayment status, payment response and payment ID
  • Gross amount and outstanding amount
  • Delivery zone, street and address lines
  • Order instructions

The export always matches what you are looking at, so set your filters and select your tab first.
